Overview

Groom Law Group is seeking an administrative professional to provide comprehensive support to our Marketing Department. This role is ideal for someone who excels in organization, precision, and proactive problem-solving to help ensure that operations run seamlessly. The Administrative Assistant will contribute meaningfully to high-impact initiatives and client-facing materials.

Responsibilities

Essential Job Duties


• Prepare, format, and proof marketing materials, proposals, and other documents for internal and external use, ensuring accuracy, clarity, and adherence to brand standards
• Produce materials of varying complexity, in Word, PowerPoint, and Excel, maintaining consistency in both content and presentation
• Update and maintain content on the firm’s website, including attorney bios, news items, events, and resource materials
• Update CRM (client relationship management) records to ensure data integrity, accuracy, and compliance with firm protocols
• Help monitor and track important deadlines for submissions, proposals, and other marketing initiatives
• Coordinate logistics for meetings, photo shoots, and marketing activities, including scheduling, room reservations, communication with internal stakeholders, etc.
• Provide back-up assistance, as needed, for firm-sponsored events
• Provide back-up assistance, as needed, on distributing alerts
• Maintain inventory of branded materials, promotional items, and marketing supplies
• Process and track marketing department expenses, including invoices, reimbursements, and credit card charges
• Work closely with CMO, manager, and attorneys to ensure projects are completed accurately and on time
• Support additional assignments as needed to help the department deliver exceptional service and maintain a best-in-class marketing function

Qualifications

Required Education and Experience


• Minimum ten years of professional administrative experience, strongly preferred in a law firm or professional services firm
• Advanced proficiency in Microsoft Office Suite
• Experience with Vuture is a plus

Compensation


• Base salary up to $85,000 commensurate with experience
• Full benefits including medical/dental/vision, life insurance, 401K contribution, generous paid leave policies, family-planning benefits, tuition reimbursement, etc.
• Hybrid working environment (Washington, DC location)
